Fuel Costs – Vehicle Fuel Consumption and Costs Settings

With Route4Me’s last-mile route optimization and fleet management software, you can create and coordinate an entire fleet of cars, vans, light-duty or heavy-duty trucks, trailers, semis, heavy equipment, and any other vehicles. Furthermore, Route4Me enables you to easily track your fleet vehicle and route fuel costs. Having an insight into your fuel expenses enables you to make your routing operations more cost-efficient, lower fleet CO2 emissions, detect employee fuel theft, and more.

On this page, you can learn how to set up fuel prices, adjust vehicle fuel consumption settings, and track route fuel costs. First, set up custom fuel prices for your Route4Me account. Next, add fuel type and fuel consumption parameters for your vehicles. After that, you can assign your vehicles to routes, and Route4Me will automatically calculate the required fuel amount and fuel costs for completing your routes.

 

 

Add Fuel Prices on Gas and Diesel for Route Fuel Expenses

To set custom gas and diesel prices for your account, go to “Analytics” and then “Costs” from the navigation menu. Next, you can add custom prices for the following fuel types: diesel, unleaded 87, unleaded 89, unleaded 91, and unleaded 93. To apply the changes, click on the “Update” button. We recommend checking and using the gas prices at your local gas stations, gas stations in your region, or along your business routes.

NOTE: Fuel Prices are always defined in Dollars per Gallon. Accordingly, if you have Vehicle Fuel Consumption settings set up in kilometers and liters, Route4Me will automatically re-calculate the fuel costs of your routes.

Vehicle Fuel Types and Vehicle Fuel Consumption Settings

Next, set up the fuel consumption settings of your fleet vehicles. You can specify fuel consumption settings when creating a new vehicle or in already created vehicles. To adjust the fuel consumption settings of a vehicle, go to “Team” and then “Vehicles” from the navigation menu. Next, you can create a new vehicle or click on the edit icon next to an existing vehicle and then adjust the settings in the “Fuel” section:

Fuel TypeSelect one of the following fuel types: Unleaded 87, Unleaded 89, Unleaded 91, Unleaded 93, Diesel, Electric, or Hybrid. Equally important, you can adjust the price of each fuel type on the “Fuel Costs” page.
City MPGAverage vehicle fuel consumption parameter when driving in the city. You can change MPG to the number of liters per 100 kilometers, etc., in your account settings.
Highway MPGAverage vehicle fuel consumption parameter when driving on a highway. You can change MPG to the number of liters per 100 kilometers, etc., in your account settings.

NOTE: In your Route4Me Account Settings, you can adjust your Distance Units (miles or kilometers) and Fuel Consumption Units (miles per gallon (US), miles per gallon (UK), liters per 100 kilometers, kilometers per liter, or miles per liter). Accordingly, depending on your account settings, you can set fuel prices per gallon or per liter.

 

Track Vehicle Fuel Costs and Expenses on Optimized Routes

You can Track Vehicle Fuel Costs and Expenses on optimized routes using Route4Me’s Route Summary Table in the Route Editor and Routes Map. First, open the preferred route in the Route Editor or select one or multiple routes on the Routes Map. Next, click on the gear icon in the bottom left corner of the map and then check the “Fuel Costs” box. After that, you can check the “Fuel Cost” section of the Route Summary Table at the bottom of the route map. Accordingly, when you select multiple routes on the Routes Map, you can check aggregated fuel costs of the selected routes.

In detail, Route4Me uses the following settings and data to calculate the total fuel costs of one or multiple opened routes: Total Distance of the routes, Vehicle Fuel Consumption parameters of the vehicles assigned to the routes, and custom Fuel Prices.

Dynamic Route Manifest with Route Fuel Costs

Additionally, you can use Route4Me’s Dynamic Route Manifest to check more detailed fuel costs by stop. To open Route Manifest in the Route Editor, go to “View” at the top of the screen and then select “View Manifest” from the menu. To open Route Manifest in the Routes List or Routes Map, select the preferred route by checking the box next to it. Next, go to “View” at the top of the screen and select “View Manifest” from the menu. After that, go to the “Fuel” tab, where you can check the following boxes:

  • Fuel from Start: The amount of fuel (petrol, diesel, etc.) required to visit each respective route stop from the route’s start address or depot. Additionally, you can check the amount of fuel required to travel from one stop to the next.
  • Fuel Cost from Start: The price of the fuel (petrol, diesel, etc.) required to visit each respective route stop from the route’s start address or depot. Additionally, you can check the price of the fuel required to travel from one stop to the next.

Download Route Fuel Costs Data – Export Vehicle Fuel Expenses

Furthermore, you can easily download route fuel costs in a CSV file. To do so, open the preferred route in the Route Editor, or go to the Routes List or Routes Map. To download route data, right-click on the route and then select “Download As” from the menu. Alternatively, select the route by checking a box next to it, go to “File” and then select “Download As” from the menu.

Next, include fuel consumption and fuel costs data in your export file. To do so, find the “Fuel” export section and then check the “Fuel From Start” and “Fuel Cost From Start” boxes. Additionally, you can learn more about Route4Me’s Route Data Export.
