Route4Me implements data retention policies to ensure compliance with various business requirements, maintaining necessary data for predefined periods before it becomes eligible for pruning. From your Data Retention page, you can view the types of data stored in your account, from Order and Route Data to Addresses, Notes, and much more. You can also track the amount of each data type stored in your account over time. Use this guide to better understand how your Data Retention page works and when data is automatically removed after the retention period.

Access Data Retention Page – Track Stored Data And Data Removal
To access your Data Retention page, go to “Account” in the Navigation Menu, then click “Account Settings“. From there, scroll down to “Data Retention“. Here, you’ll find a comprehensive overview of the types of data created in your account and how much of each type has been stored over time.
This page also provides insight into what data may be approaching the pruning window and will soon be deleted. Data is retained for up to one year from the time it was created, after which it becomes eligible for automatic removal.
View Data Created Over Time – Data Retention And Pruning Overview
All stored data is categorized into Data Type and Time Period columns. The Data Type column lists various types of data created and stored in your Route4Me account. The Time Period columns help you track how many times a specific data type was created within a given time period – the last 30 days, the last 60 days, and so forth.
This breakdown also helps you anticipate when specific data entries will be eligible for removal. For example, if “Address” in the Data Type column shows 100 under the “Last 30 Days” column, this means 100 Addresses were created and stored in your account during that time. This data will remain in your account until it reaches the 100-day mark, after which it can be pruned from your account automatically.

Email Notification | The number of automated messages sent via email to inform Users about visit updates, alerts, or specific events. |
Note | The number of instances in which you collected proof of delivery or proof of service (via signature, image, or other means) or other documentation related to route activity. |
Optimization | The number of routes you optimized. |
Order | The number of tasks, such as delivery or service stops, you created in your Route4Me account. |
Route | The number of planned paths or destination sequences used for navigation, transportation, or delivery purposes you added to your account. |
Route Data | The number of instances in which you attached additional details or data to Drivers and Users, customer orders, addresses, or other items. |
SMS Notification | The number of automated messages sent via SMS to inform Users about visit updates, alerts, or specific events. |
Salesforce Notification | The number of automated alerts sent via Salesforce to inform Users about updates or events. |
Total Upload Bytes | The total amount of data, measured in bytes, that was uploaded to your Route4Me account. |
Upload | The amount of data or files uploaded from a local device to your Route4Me account. |
Extend Your Data Retention Period – Prevent Automatic Data Pruning
By default, Route4Me retains your data for up to one year, at which point it is eligible for data pruning and can be automatically deleted. However, if you need to store specific data for a longer period, you can contact Route4Me’s Customer Support to discuss options for extending your data retention period.
