Attach Voice Recordings to Stops – iPhone Route Planner App

To ensure that your remote team members can safely capture all valuable data when they are out in the field, Route4Me’s Android app allows you to capture audio and attach it to route stops with just a touch of the button. Thus, instead of typing on a tiny screen while driving or performing dangerous work, your field team members can tap on the button and attach any piece of valuable information to their routes in seconds. In addition to being safer, adding sound attachments is objectively much more time-efficient and informative than making regular text notes. For example, recording a 30-second audio can easily replace 5 minutes of typing that can add up to more than an hour of wasted time a day. Moreover, some things can’t be properly documented in the text or even photos, for instance, if a customer wants to leave a message for the manager, field employee needs to record the sound that their vehicle or special equipment is making, and so on. All audio files that are uploaded using Route4Me’s iOS app are securely stored on Route4Me’s remote servers and cannot be deleted or altered by other users. Sound attachments can be added to route stops with notes. Thus, to attach the audio recorded on your iPhone to a particular route stop, first, open the corresponding route. To do so, go to “Routes” from the navigation menu and then select the preferred route.

After that, tap on the note icon next to the stop to which you want to attach a sound recording and then tap on the “Add a Note” button.

Next, fill out the contents of the note, select the note’s status and then tap on the microphone icon to launch the microphone app on your iPhone (make sure that your Route4Me iPhone app has the permission to use your microphone).

After that, record the preferred audio using the microphone on your iPhone and then tap on the “Done” button to attach the recorded sound to the note.

Once the audio is added to the note, it is displayed at the bottom of the note’s screen. After filling out the note’s details and attaching the preferred audio (max 200 MB per sound attachment), tap on the “Done” button in the top right corner of the screen to save the note with the attached audio. NOTE: You can attach one audio recording per note. If you need to attach multiple audio recordings to one route stop, you can add multiple notes.

To view the note with the attached audio, tap on the note icon next to the corresponding route stop and then tap on the note that you want to check to open its details. NOTE: For security purposes, notes and notes’ contents (i.e., audio attachments, videos, signatures, etc.) cannot be deleted or altered in any way by other users. All captured and uploaded audio files are securely stored on Route4Me’s remote servers.

Notes with captured and uploaded sound attachments can also be viewed from the Route4Me Web Platform. To do so, once the audio is attached to the note and the note is added to a particular route stop, open the corresponding route stop on the Route4Me Web Platform and scroll to the “Notes” section. Audio files attached to notes using the Route4Me iPhone app are saved as M4A files. To view or download the attached audio from the corresponding note, click on the “View M4A” button accordingly.
