Managing Users and Team Members

 

Route4Me provides flexible and adjustable settings for managing the platform users. You can easily create and control multiple users based on your needs and preferences. Route4Me allows you to create users with different levels of access to the account and set various permissions and restrictions accordingly for the most efficient delegation of duties and tasks.

Understanding Route4Me User Types

Route4Me’s user types allow you to efficiently manage and control your team members by setting different permissions and restrictions. Permissions for each user type can be customized and adjusted accordingly to allow efficient team communication and workflow.

 

Based on default permissions and settings, Route4Me user types can be split into four main categories:

  1. Account Owner. The “Account Owner” user type is associated with the company’s main account. All other accounts and user types will be branched under the Account Owner. The Account Owner has a permission to see the routes of all users and all the contacts in the Address Book . The Account Owner can also change account settings, billing information or change the subscription plan;
  2. Administrator: The “Administrator” user type has similar permissions to those of the Account Owner. The Administrator does not have billing rights and can see the Address Book information of all users, except for that of the Account Owner;
  3. Regional Manager/Dispatcher/Route Planner/ Analyst: These four user types have the same set of default permissions, but are named differently so you can assign users according to their role within your company or choose the one that is the closest in terms of duties and responsibilities. You can also set different custom permissions for each user in the “User Role & Access Options” section as you see fit. The user types in this category can have teams assigned to them. A Regional Manager can have a team of Dispatchers, Route Planners, and Drivers, the Dispatcher can have Route Planners and Drivers, while the Route Planner can have a team of Drivers. By default, each of these user types can view the details and routes of users branched under them.
  4. Driver: The Driver user type can only view and edit routes and contacts assigned to them.

 

 

Creating New Users

Route4Me offers advanced team management features which you can use to effectively handle the way your routes are distributed among your drivers.

To open and modify your users, go to the “Team” tab in the navigation menu select “Users.”

Your users are arranged in a hierarchical structure. To add a new user, click “Add Sub-User” next to an existing team leader.

In the Add user window, fill out the mandatory “Required Account Fields” menu which provides basic information about the user. “Extended User Settings” menu allows you to add contact information and other details about the user. In the “User Role and Access Options” menu, you can set up user’s permissions and restrictions.

In the “Required Account Fields” you need to fill in the first and last name of the user, e-mail address, set a password and assign a user type. Note that the user will be created only if you input a valid email address. The email address associated with a user can be changed only from within that user’s account.

In the “Extended User Settings” menu, input additional information about the user, such as a phone number, the state and/or country where the user is active and the year of birth of the user. For drivers, you can assign an hourly rate which will help you keep track of your expenses. You can also upload a picture to personalize the user’s account.

Before adding the user, make sure you set the proper permissions in the “User Role & Access Options” menu. “User Role & Access Options” allow you to set up user’s permissions and restrictions for more efficient control of your users’ activities.

  • Hide Routed Addresses – Hides or shows the addresses that were previously routed in the default view of the Address Book;
  • Hide Visited Addresses – Hides or shows the addresses that were previously marked as visited within a route in the default view of the Address Book;
  • Hide Non-Future Routes – The “View Saved Routes” section hides or shows the routes that are planned for a date that had been previously set.
  • Read-Only User – Allows or disallows the user to make changes to the routes assigned to the user’s account;
  • Global Address-Book – Allows or disallows the user to view the contacts in the account’s Address Book;
  • See All Vehicles – Allows or disallows the user to view routing information for all drivers;
  • Max Routes Future Days – The number of future days for which the user can see planned routes;
  • Driving Rate/hr – The current hourly driving rate of the user;
  • Working Rate/hr – The hourly working rate of the user;
  • Idling Rate/hr – The hourly idling rate of the user;
  • Driving Rate/mi – The current driving rate per mile.

 

 

Adding Custom Data to Users

Adding Custom Data to new or existing users and sub-users allows you to add extra fields of information and values that are not included in the predefined fields. Using Custom Data feature lets you customize your users’ profiles based on your preferences and specific needs.
Scroll down to the bottom of the page and click on “Add Value” in the “Custom Data” section.

In the “Set Value” window, type in:

  1. Key: Key-word that defines the content of the Custom Data;
  2. Value: The main content of the Custom Data.

In the “Custom Data” section, you can see and modify the existing fields and add new ones.

  • – Click “Modify User” to finish creating the user;
  • – Click “Reset” to clear all fields.

Deleting Users from your Route4Me Account

To delete a user, click on “Remove” button next to a user you want to remove.

When prompted, click “Ok” to confirm.

A corresponding notification will appear at the top of the Users List.

User Type Permissions

Different user types have different permission levels across the platform. Furthermore, administrators can enable read-only restrictions for any user type. A read-only user will have different permissions than a standard user. Below you can find two tables detailing default user permissions and read-only user permissions.
