Adding Notes with Custom Statuses to Stops
With Route4Me you can set up custom notes to increase the flexibility of your route planning activities and make sure that you always get the right data from your team. Route4Me provides an adjustable selection of custom statuses, additional fields, to-do actions, file uploading and other customizations that you can make to your notes. This feature enables you to set specific instructions for the actions that must be performed by your drivers/team members while they are out in the field. To add a custom note to a stop, first, go to your Routes List from the navigation menu.
Select the route in which you want to create a note.
In the Route Editor, click on the stop to which you want to add a custom note.
In the stop’s menu, click “Add a Note” at the top of the screen.
The “Add a Note” window may differ depending on the custom settings. Route4me provides a selection of custom statuses, additional fields, to-do actions, files uploading and other customizations that you can make to your notes. In the “Add a Note” window, first, select one of the statuses from the drop-down “Update Type” menu. Setting a status defines the primary goal of the note. Route4Me provides a set of predefined statuses and allows you to expand the list by adding custom statuses that are more suitable for your routing activities.
Select one of the “To Do” actions from the drop-down menu. To-do actions define a necessary action that must be performed upon visiting the stop. You can define custom to-do actions to specify the exact instructions for your team.
Choose the “Drop-off Location” for the delivery. Selecting an appropriate drop-off location helps to save the time of the drivers.
The text field normally represents the main description of the note and contains important details.
To upload a file or an image and attach it to the note, click “Choose File,” then select a file from your device. The size of the image should not exceed 50MB. CSV, XLS, PDF, JPG, JPEG, GIF, PNG, DOC, and DOCX files should not exceed the size of 200MB. Once you upload a file, its name will be displayed next to the “Choose File” button.
Click “Add Note” to finish.
Once the note is added, the stop will be displayed with the corresponding icon in the Route Editor.
Viewing Custome Notes Added to a Route
To view the notes added to a specific stop on a route, in the Route Editor, click on the stop and scroll down to the bottom of the stop’s menu.
To view all notes of a route, click “Notes” at the top of the Route Editor screen and select “Review Existing Notes.”
In the “Manage Route Notes” window, you can add more custom notes to any stop of the route.
The “Notes list” displays all existing notes of the route.
NOTE: You can not modify or delete existing notes for the purposes of data security.
Viewing Custom Notes on a Mobile Device
Currently, Route4Me supports custom notes for Android devices. To view existing notes on your Android device, open the route that contains custom notes and tap on the note icon on the stop. On the “Notes” screen you can find all notes added to the stop. Tap on the note to open it. The “Note Preview” screen shows the status, an image, a to-do action, and a dropoff location.
